How we use data

We respect your right to own your own data and for that data to be secure and private. This privacy statement explains what data we collect, and for what purposes we use it.

If Agile Collective chooses to sell, merge, divest or transfer any part of our business at some point in the future, then your data will be transferred to the new business and used in accordance with this privacy policy. The lawful basis for processing in this scenario is legitimate interest, since evolving our company is a legitimate thing for us to do.

What information we collect

The information we collect depends on your relationship with us. You may be a client or potential client; a visitor to our website, or a potential employee. We have listed the different information we collect in sections below.

Clients

When you sign a contract to work with us either on a project or through our support and maintenance service we will collect further information about you. We will collect:

  • Your name
  • Company name and company details
  • Telephone number(s)
  • Address
  • Email address
  • Bank Account details

We use this information to fulfill our contract with you, among other things we will use it to:

  • send you invoices, reminders and statements.
  • communicate with you about technical issues related to your website.
  • notify you of changes to terms and conditions.

We will also use this information to notify you of changes to our service such as new team members or price changes. If a communication from us is not strictly necessary to us providing you with service, then we will always provide an option to not receive further similar messages.

When you are a client of ours we will be delivering the design, build and support of a website, however the data contained on the site and server is your data, and not ours. We act as a processor, and only process the data on your server with direct instruction from you. We make every effort to ensure that your website is secure and have put in place a number of measures to protect your site and the data held on it. We will not give these images to any other party without thoroughly confirming the request (and its consequences) with you by email.
 If you are a potential client, contacting us via our website or directly via phone or email or in person, then we log our interaction with you in our CRM so that we can communicate with you about any potential collaboration.

We do not share your information with a third party, except where we may work with a trusted partner to deliver a project and we will always ask you in advance if this is the case.

Visitors to our website

When someone visits agile.coop we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. If we do want to collect personally identifiable information through our website, we will be up front about this. We will make it clear when we collect personal information and will explain what we intend to do with it.

If you visit our Facebook page

Facebook uses cookies to track visitors to our business page. These cookies are set even if you do not have a Facebook account. They will track your Internet activities on and off Facebook. Despite the fact that only Facebook has access to the data from these cookies, not us, by creating and maintaining a Facebook business page, we are deemed responsible for the cookies being set. We have no way to prevent these cookies being used. We want to be as transparent as possible so you are aware of the way your data is being used by Facebook.

Potential employees / members

All potential employees use a form on our website.

We will often transfer this information to Google Drive to enable us to share the information with members of the team as part of the decision-making process.

We do not collect more information than we need to fulfil our stated purposes and will not retain it for longer than is necessary.

All of the information you provide during the process will only be used for the purpose of progressing your application, or to fulfil legal or regulatory requirements if necessary.

We will use the contact details you provide to us to contact you to progress your application. We will use the other information you provide to assess your suitability for the role you have applied for.

If you are successful, the information you provide during the application process will be retained by us as part of your employee file for the duration of your employment plus 7 years following the end of your employment. This may include a criminal records declaration, fitness to work, records of any security checks and references.

If you are unsuccessful at any stage of the process, the information you have provided until that point will be retained for up to 1 year from the date of your submission.

What will we do with the information you provide to us?

We will not share any of the information you provide during the recruitment process with any third parties for marketing purposes or store any of your information outside of the European Economic Area. The information you provide will be held securely by us and/or our data processors whether the information is in electronic or physical format.

If you are unsuccessful following assessment for the position you have applied for, we may ask if you would like your details to be retained in our talent pool for a period of six months. If you say yes, we would proactively contact you should any further suitable vacancies arise.

Transfers of data

Like many EU businesses, we transfer data to Mailchimp who act as a processor for emails about service updates to our existing clients. Mailchimp also act as a controller for some of your data once this is passed to them. We recommend therefore that you read their privacy policy here to understand exactly what they do with this data, and see how you can opt out of them using your data for analytics purposes.

We are aware that Mailchimp expects us to have got permission for your data to be used this way, but we do not believe that we are in a position to get consent on behalf of another company when we have no control over how they use the data.

Changes to this policy

We keep our privacy policy under regular review and will notify visitors to our website when it is updated.
